Health Information ManagementA tremendous amount of information is generated by a hospital visit. As patients are diagnosed and treated at Weiss Memorial Hospital, the Health Information Management (HIM) department collects and stores information about each patient. The department is responsible for maintaining and protecting the medical records of all Weiss patients. HIM stores on-site the hospital’s most current two years of medical records. All other records are stored off-site.
Other areas managed by the HIM department include coding, transcription, deficiency analysis, physician record completion, and electronic record processing. The coding section performs coding on all inpatient, emergency and outpatient services. The department employs only credentialed and experienced coders that are certified through the American Health Information Management Association, a nationally recognized association for medical record professionals. Effective 12/1/06, all transcription services are provided in-house to insure the timely turnaround time of patient results which has enhanced our patient care. The HIM department also utilizes electronic signature for the authentication of medical record reports and entries for all Weiss physicians. The HIM department works closely with many other departments in the hospital. HIM works with the administration department on billing and collections issues. The HIM department is open from 7:00 am to 5:30 pm Monday through Friday. After hours and on weekends the security department should be contacted to gain access to the department.

Effective 2/1/07, the medical records of Weiss Memorial are stored electronically. All records are scanned, indexed and stored via an electronic media. Such automation ensures timely retrieval of records for patient care and customer requests. The department provides release of information Monday through Friday, from 8:30 am to 5:00 pm. HIM releases medical records for our patients who want copies of records for further care or other requestor reasons provided a valid patient authorization is secured. The department follows all state and federal regulations for the release of health information.
